Frequently asked questions
Straight answers about accounts, portals, payments, and how Gatherlane fits planners, vendors, and clients.
Getting started
Do I need a credit card to start?
No. Every account gets a 30-day trial with no card. After that, Planner Pro is $29/month, vendors $12.99/month, and clients $6.99/month. Planners can stay on Starter with one active event if they do not continue Pro.
Who is Gatherlane for?
Gatherlane connects three seats on every event: lead planners (and their team), vendors who bid on and deliver work, and clients who follow the plan in a private portal.
How do I choose the right account type?
Sign up as a planner if you run events, as a vendor if you provide services, or as a client if you’re the couple/host. Then search for a planner in the app (or accept an invite if they send one).
Is there a mobile app?
Gatherlane works in the browser on phone and desktop. You can install it as a progressive web app from supported browsers for a home-screen shortcut.
Accounts & access
Do vendors and clients pay?
Yes, after the first 30 days. Vendors are $12.99/month and clients are $6.99/month. Both start with the same 30-day trial and no card.
How do invites work?
Your planner (or teammate) can email an invite link. Create an account or sign in, accept the invite, then open the matching portal. Clients can also sign up on their own and search for a planner in the app.
Can I be on more than one event?
Yes. Planners can run multiple event workspaces. Team members and vendors see the events they’re assigned to. Clients connect with a planner via invite or by finding one in the app, and then follow that celebration in their portal.
What if I didn’t get the invite email?
Check spam for messages from Gatherlane (noreply@gatherlane.net). Ask your planner to resend the invite, or contact support@gatherlane.net with the email address that should have received it.
How do team permissions work?
Lead planners invite staff and choose which menus each person can open, so someone in finance can focus on payments while a coordinator sticks to timeline and tasks.
For planners
What’s in the planner workspace?
Each event has Overview, Timeline, Tasks, Messages, Files, Clients, Vendors/job posts, Payments, Contracts, Team, and more, plus an Ops Room for a cross-event snapshot.
How do I bring my client in?
From the event, invite them by email or search for an existing Gatherlane user. Once they accept, they get a private client portal tied to that celebration.
How do vendor job posts work?
Post a role with details and budget. Matching vendors bid on Gatherlane. When you award a bid, that vendor is added for contracts, messaging, and invoicing.
Can I assign timeline work to vendors?
Yes. Add activities on the Timeline, assign a team member or vendor, or offer a task up so someone can claim it when they’re ready.
For vendors
How do I get discovered by planners?
Complete your vendor profile with services, area, licenses, credits, and banner, and keep it public so you show up when planners browse recommendations and post matching jobs.
Which jobs will I see?
Opportunities are filtered to services you offer, so you’re not wading through every open post on the platform.
How do bookings and availability work?
Awarded jobs move to My Bookings. You can block dates you’re unavailable; confirmed booking dates stay protected so you don’t double-book yourself.
How do I get paid?
Connect Stripe in the vendor portal, then invoice for awarded work. Planners pay through Gatherlane checkout and funds go to your connected Stripe account.
For clients
Do I need an invite to use the client portal?
Create a client account (30-day trial, then $6.99/month) and search for a planner in the app. If your planner already sent an invite, you can accept that link instead. Either path gets you into your portal.
How do I find a planner?
After you sign up as a client, use Find a planner in your portal to search and invite someone. They accept before joining your event. You can also wait for a planner to invite you.
What can I see and do as a client?
Follow progress and what’s next, message your planner, view the timeline, update event details and inspiration, manage guest info, open documents, and pay invoices your planner sends.
Can I message vendors directly?
Day-to-day coordination stays with your planner. You’ll see simplified vendor progress in your portal, and message your planner when you need a change or decision.
Billing & payments
How much does Gatherlane cost?
Every account starts with a 30-day trial and no credit card. After that, Planner Pro is $29/month, vendors are $12.99/month, and clients are $6.99/month. Planners who do not continue Pro can stay on Starter with one active event.
How do invoice payments work?
Planners and vendors can send invoices from the event. Payers check out securely with Stripe. Status updates on the invoice so everyone sees what’s paid.
Do I need Stripe to use Gatherlane?
You can plan, invite, and collaborate without it. Connect Stripe when you’re ready to collect invoice payments into your business account.
Where do I manage Gatherlane Pro?
Planners open Settings → Billing & Pro. Vendors and clients open Account settings in their portal. After the 30-day trial, Planner Pro is $29/month, vendors $12.99/month, and clients $6.99/month. Team members invited by a lead planner are not charged extra seats.
